You coordinate multiple files, protect priorities, support F&I advisors, and identify opportunities that deserve renewed follow-up. Your rigour helps the team maintain momentum without losing essential information.
Your work creates continuity for every file.
This is not an isolated administrative role. You connect dealerships, F&I advisors, and the internal team so next steps remain clear and files do not lose momentum between interactions.
Coordinate progress
Monitor file status, establish priorities, and step in when a next action is taking too long to be completed.
Maintain useful information
Ensure that notes, follow-ups, and decisions allow the team to act without losing the file’s context.
Identify what can be recovered
Identify protections that were not completed, unfinished follow-ups, and customers who could benefit from renewed contact.

Maintain an up-to-date view of files, responsibilities, and next actions so priorities remain visible.
Work with DealerTrack and DMS platforms
Verify information and support file processing without creating gaps between tools.
Support advisors at the right time
Prepare the necessary information and handle the follow-ups that allow the advisor to stay focused on the customer.
Reconnect when an opportunity remains
Conduct a clear and professional follow-up when a protection was not completed during the first conversation.
Operational rigour can also recover value.
When a file is properly followed, a missed opportunity becomes visible. When the customer is contacted again at the right time, it can become a useful conversation for the customer and a genuine opportunity for the business.

Reconnect with the customer using the right context and a clear next action.
